This Privacy Policy explains how e-Timologio ("we", "us", or "our") collects, uses, and protects your personal data when you use our time-tracking and invoicing service. We are committed to handling your data responsibly and in compliance with the EU General Data Protection Regulation (GDPR).
Information We Collect
Account information: your name, email address, and password (stored hashed) when you create an account.
Business data: invoices, clients, projects, expenses, time entries, catalogue items, and business profile details you enter into the app.
Usage data: anonymous analytics about how you interact with the app, such as pages visited and features used.
Technical data: IP address, browser type, and device information collected automatically for security and performance.
How We Use Your Information
To provide and operate the service — storing your data, generating invoices, and tracking time on your behalf.
To authenticate you and keep your account secure.
To send essential service communications, such as account or billing notices.
To improve the product through aggregated, anonymous usage analytics.
To comply with legal and tax obligations, including AADE/myDATA e-invoicing requirements where you enable that integration.
Cookies
We use strictly necessary cookies to keep you signed in, remember your active organization, and store your language preference.
We do not use advertising or cross-site tracking cookies.
How We Share Your Data
We do not sell your personal data.
We share data only with service providers that help us run the app (such as hosting and database infrastructure) under appropriate data-processing agreements.
If you enable the myDATA integration, relevant invoice data is transmitted to the Greek tax authority (AADE) using credentials you provide.
If you enable the optional AI assistant, the business data needed to answer your request — including client details — is sent to our AI provider (Anthropic) for processing. It is not used to train their models, and the feature stays off until an owner or admin opts in.
We may disclose data when required by law or to protect our legal rights.
Data Security
Passwords are stored using industry-standard hashing, and data is transmitted over encrypted (HTTPS) connections.
Access to your data is restricted through row-level security so each organization only sees its own records.
Data Retention
We retain your data for as long as your account is active.
When you delete your account, we remove your personal data within a reasonable period, except where we must retain certain records to meet legal or tax obligations.
Your Rights
Under the GDPR you have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing.
You can exercise most of these rights directly in the app, or by contacting us.
